Austin Health is the major provider of tertiary health services, health professional education and research across 3 campuses in the northeast of Melbourne and state-wide. Austin Health is world-renowned for its research and specialist work in cancer, liver transplantation, spinal cord injuries, neurology, endocrinology, mental health and rehabilitation.

An exciting opportunity currently exists for an enthusiastic and highly experienced purchasing officer to join our Supply Department. 

The Procurement and Supply Department is responsible for running procurement activities, making purchases on behalf of the Health Service and includes managing contracts and suppliers, forecasting, managing inventory and warehousing, transport and customer service.  The department supplies all medical, surgical and general supplies in an efficient and error free environment meeting all applicable standards.

 Reporting to the Supply Operations Manager, the incumbent is tasked with performing duties efficiently and to the standards of the department.  This includes a competency and skill level in material management, to provide a service in converting of requisitions to purchase orders as required for Austin Health and other contracted health services in a timely manner.

 The role will require the following accountabilities:

  • Ensure that requisitions and purchase orders are processed in accordance with Health Service procedures and processed in a timely manner;
  • Ensure the system data is accurate and up to date;
  • Forward outstanding order reports to suppliers and act on any responses including updating ETA’s in the system;
  • Review the warehouse product range, reorder points and order up to levels on an ongoing basis ensuring inventory levels reflect current usage and inventory management guidelines;
  • Identify slow moving and overstocked inventory and recommend actions to the Supply Operations Manager
  • Communicate with relevant staff throughout Austin Health regarding outstanding Requisitions\Purchase Orders
  • Re order stock items in a timely manner at the correct quantity;
  • Work closely with the warehouse team regarding order discrepancies and receiving issues and manage the returns to supplier process
  • Communicate and update pricing agreements;
  • Maintain and update information as required on the supply mainframe system;
  • Process invoices, investigate discrepancies, resolve issues and liaise with Finance to ensure prompt payment to suppliers:
  • Support other members of the operations team as directed;
  • Assist in the annual stock take activities in the Repat Central Store & Supply Consumables Sterile Store as directed.
  • Maintain probity in all procurement activity;
  • Implement HPV contract changes and ensure compliance;
  • Liaise with Health Purchasing Victoria (HPV) to represent Health Service interest and participate on working groups as directed;
  • Implement and monitor HPV contracts ensuring Health Service compliance.
  • Complete all mandatory E-learning modules as directed
