Position Summary

Austin Health is the major provider of tertiary health services, health professional education and research across 3 campuses in the northeast of Melbourne and state-wide. Austin Health is world-renowned for its research and specialist work in cancer, liver transplantation, spinal cord injuries, neurology, endocrinology, mental health and rehabilitation.

An exciting opportunity currently exists for a Part Time (20 hours/week), Fixed term (1 year) Project Officer to oversee the detailed requirements gathering, analysis, feasibility, approval, initiation, planning and implementation of hospital application related projects. This position includes the following:

  • Undertake business analysis and requirements gathering, including thorough investigation to enable the compilation of scope requirements for hospital systems.
  • Analyse, define and document specifications and functional requirements for enhancements.
  • Develop Business Cases that articulate the problem, potential solutions, realisable benefits, risks, issues, costs and recommendations
  • Prepare clear project proposals (working with the Project Sponsor) to establish and define project scope, goals and benefits in measurable terms.
  • Develop and maintain a detailed project plan.
  • Oversee the execution of the activities on the project plan.
  • Ensure roles and responsibilities (internal / external resources) are clearly defined and communicated.
  • Manage and monitor progress and performance of project plan milestones and deliverables.
  • Provide progress updates and regular status reports to the Manager Strategy & Engagement, the project sponsor and the various executive governance and reporting structures which guide the successful delivery of the project.
  • Manage expectations of the key stakeholders to ensure successful project delivery.
  • Record and manage project issues, ensuring mitigation actions are identified, implemented and escalated where necessary.
  • Establish the risk management plan and oversee the proposed mitigation actions for the project in line with the PMO risk management framework.
  • Develop the project budget plan, and provide financial oversight and reporting of the project expenditure against the allocated budget.
  • Manage external vendor/consultancy services and input within the defined budget.
  • Undertake the contract development and negotiation activities to ensure the contract accurately reflects the requirements of the project.
  • Ensure all relevant purchasing and probity procedures and policies are complied with as required.
  • Ensure effective communication and change management plans are in place for the project and deliver the required ICT components of these plans.
  • Establish the support matrix to move the project into business as usual operation.
  • Conduct post implementation review phase of the project and document the findings and lessons learnt to inform future projects.
  • Leading the team to deliver and managing team communication and performance.
  • Provide leadership to staff by communicating corporate objectives and expectations, developing a team focus, and promoting Austin Health’s values.
  • Provide coaching and mentoring to staff to ensure the team delivers service excellence.
  • Manage in a style which is flexible and adaptable to shifting priorities, demands and timelines
